Accounts Officer

This is a great opportunity for an enthusiastic applicant to join our friendly Accounts team. We are seeking a detail-oriented and proactive Accounts Officer. The ideal candidate will have solid accounting knowledge, hands-on experience with Xero, and a minimum qualification of AAT Level 3 or equivalent. Your main responsibility will be for the management of the day-to-day of financial operations within the Purchase Ledger, with providing support to the Sale Ledger and Accounts Co-ordinator. The role is 30-37.5 hours per week and based at our Head Office, in Sutton Courtenay.

Main Responsibilities

  • Ensure accurate management of the Purchase Ledger, including but not limited to:
    • Posting of supplier invoices to Xero with correct approval and coding.
    • Process weekly payments to suppliers and staff expenses.
    • Reconcile supplier statements.
    • Maintaining supplier records on Xero.
  • Manage daily bank transactions – processing supplier payments and client receipts on Xero.
  • Reconciling all bank accounts on Xero.
  • Manage credit card posting and reconciliations on Xero.
  • Support the Accounts Co-ordinator with month-end and year-end tasks such as journals and reporting.
  • Manage the accounts email inbox and liaise with suppliers, clients, and internal teams regarding financial queries when required.
  • Provide support to sales ledger including but not limited to:
    • Post and reconcile petty cash.
    • Credit control – to ensure a timely and efficient collection of outstanding amounts owing to the practice and liaise with debt collection agency to monitor new and existing client debt.
    • Provide change to branches when required.
  • Attend team and practice meetings as required.
  • Undertake any other projects as requested by your Team Leader.

Essential skills

  • To have proven experience as an Accounts Officer or similar role.
  • To have achieved a minimum AAT level 3 or equivalent.
  • To be proficient in use of Xero, Microsoft Excel and other MS Office applications.
  • To be thorough, with a keen eye for detail
  • To be comfortable with reviewing financial data
  • To be able to problem solve and make decisions
  • To be able to work independently and as part of a team.
  • To be able to multitask and prioritise workload
  • To be able to communicate well with good social skills

Veterinary Practice Assistant

 We are looking for a Veterinary Practice Assistant to join our team on a one year fixed term contract.

This is an entry level position into the profession and will allow you to gain experience in all areas of the practice.  No previous experience is necessary, but you must be friendly and outgoing, a hard worker, who is keen to be part of a team that keeps the hospital clean, tidy, and working smoothly.

Our VPA’s support all teams across all branches and opportunities may arise after a successful training period, to progress into other roles within the practice.

The role is full time, 40 hours per week (including weekends on a rota basis with time off in lieu.)

You will need 5 GCSE’s grades 9-4 (A*-C) including, Maths, English and Science, and you will need to be a car owner with a manual driving licence, as you will be required to work across all our practices in South Oxfordshire. An animal care qualification would be an advantage but is not essential.

 Main Responsibilities:

  • To undertake a 12 week training programme to learn all tasks required for the role as directed by the senior nursing team and senior reception staff.
  • To carry out routine daily tasks to maintain smooth running of the clinical areas, including stocking up and kit cleaning/preparation, scrubbing patients for theatre.
  • To support the nurses/vets to provide care for inpatients.
  • To help maintain high clinical standards in all areas of the practice and follow SOPs/practice protocols.
  • To complete clear records of cleaning daily in all areas.
  • To assist with animal handling as instructed.
  • To help maintain practice appearance.
  • To carry out inhouse lab work and prepare external samples.
  • To assist with reception work and phone answering when required.
  • To keep accurate hospital records and required paperwork as directed by the nursing team.
  • To attend team and practice meetings as required.
  • Complete health and safety appropriate to the role.

We are looking to employ a receptionist to join our friendly team.

This role requires experience with client care or a similar customer facing role. This is a full-time post that would suit someone who puts the client at the heart of their role, not necessarily currently in the veterinary world but definitely in a busy, service focused environment. Full training on our systems will be given to the successful candidate who will be expected to use their own initiative, have a full driving licence and be available to work across all of our branches in South Oxfordshire. This role is full time (37.5hpw) with 1 in 4 shifts on the weekend rota (a Saturday or Sunday).

Key Responsibilities:

  • To provide a friendly, efficient and caring service to clients and their animals.
  • To answer the telephone and take accurate messages.
  • To deal with clients at reception or on the telephone.
  • Be able to enter computer data accurately and appropriately.
  • To handle payments and cash up in line with practice protocol.
  • To assist with the cleaning and tidying of the waiting room, reception area, consulting rooms and pharmacy.
  • To liaise with reception, nursing and veterinary staff.
  • To stock shelves with food and pet products.
  • To participate in training and development activities as required.
  • To attend team and practice meetings as required.
  • To follow correct policies, protocols and procedures.
  • To be efficient, courteous and polite.
  • To be concerned and helpful to colleagues, clients and their animals, under all conditions.
  • To be keen, enthusiastic and willing to learn and an honest and reliable team member.
